General Data Protection Regulation (GDPR)

What information do I hold and where does it come from?

The information I hold comes from your child as the student and yourself as the parent.  On registration forms I ask for the following information:

·       Name of student

·       Age or year group

·       Consent of parent to receive tuition with the date consent is given

·       Phone numbers

·       E-mail addresses

·       School attended

·       GCSE/A-Level exam board

·       Details of work completed

·       Anything else the parent feels is relevant to academic tuition

Names, phone numbers and email addresses are stored in my email contacts.  The information above is stored either as paper copies or on a computer with password protection.  None of the information will be passed on or shared with any third parties without permission.

Your rights

You have the right to ask me to delete any or all of the information I hold on you or your child.  Unless specifically asked to destroy information by you, after a student has finished tuition with me I usually hold information on file for two years.  When information is destroyed, all computer files will be permanently deleted and all papers will be shredded to protect your identity.

Please note that if you request for information to be deleted, I may be unable to continue tuition with your child.  Conditions regarding cancellation remain the same.

Access requests

As a parent, you have the right to see information held by me about your child.  If you would like to exercise this right, this can be done by making an appointment with me to come at the beginning of your child’s tuition session.

Child protection

A DBS certificate can be shown to you on request.  Before tuition begins for the first time, I will ask for your consent to hold information on your child and permission to tutor.  Communication regarding tuition will be by e-mail or telephone with yourself.  The only occasions I would ring or message a child’s mobile number would be:

1.       If your child is running late to my tuition session and I am unable to get hold of yourselves.

2.       To let them know if I am unwell on the day if I am unable to get hold of yourselves.

Consent

It is assumed that, on completing the registration forms, you consent to me holding the information about your child on file until 2 years after tuition with me ends.   It is not my policy to have contact with students on social media, with the exception of my business Facebook page (Ampthill Science Tutors).

Data breaches

GDPR introduces a duty on all organisations to report certain types of data breach to the Information Commissioner’s Office (ICO) and to individuals.  If there is a breach, I will follow the appropriate steps.
